Scholarship Policies

Priority of awards- Presidential and Dean’s scholarships are reserved for graduating high school seniors.

Availability- Scholarships are normally awarded for fall and spring semesters. Scholarships may be used for summer sessions, upon request, but will be considered part of the four semester award. Failure to register for any semester will cancel the scholarship for future semesters (except in the case of an approved deferment).

Deferment Policy- Scholarships may be deferred by students who interrupt their education for church service, military service or medical reasons. A written notification must be submitted to the scholarship office explaining the reason for deferment, when the student is leaving and when they expect to return. To reinstate the scholarship, the student must notify the scholarship office two months prior to their return. Deferment is limited to 30 months.

Deadlines- Presidential and Dean’s scholarship applications must be submitted before March 1. Award letters will be mailed to scholarship candidates and the student is required to respond by May 1 in order to receive the award. Students receiving housing grants are required to make arrangements with the housing office and pay a cleaning deposit/fee of $100 before Aug. 15. Students not meeting required deadlines may be considered for other awards on a first-come, first-serve basis. The amount of assistance will be based on available funds and the student's level of need as determined by a needs analysis.

Credit Load Requirements- Students must enroll and complete the credit load for a full time student required by Title IV funding. To be considered full-time students, freshmen and sophomores must carry a credit load of at least 12 hours per semester

Probation- Students falling under the required level for cumulative GPA or credit hours will be given one semester of probation unless specified otherwise. A notification will be sent informing the student that the scholarship will be canceled unless they raise their cumulative GPA above the required level and/or they enroll and complete the required amount of credit hours the next semester.

Any student whose cumulative GPA or credit hours remain below the required level for two consecutive semesters will have their scholarship suspended. Students may appeal the decision through the scholarship committee. If it is determined that the student cannot bring their GPA or credit hours above the required level in one semester, or their GPA falls below 1.5, the award will be canceled without probation or review. Withdrawal from college will also cancel the award except in the case of an approved deferment. Students who return to college must reapply for available funding.

Funds are specific- All scholarships are specific for the purpose they are awarded. If a student is awarded a housing grant and chooses not to live in the dorms, the award will be canceled. The student may apply for other funding but under the conditions of an application received after the deadline.

Reductions of awards- In the event that a reduction in aid is required (because of an over-award or refund repayment situation) Title IV funds will be reduced first (federal work-study, SEOG, SSIG). Next to be reduced are CEU-SJC grants or scholarships that were included in the needs analysis. If an outside award (tribal scholarships, endowment funds, foundations, etc., ) was based on a needs analysis performed by the financial aid office, and did not include the grant or scholarship, then the outside money will be reduced before the grant or scholarship. In the event that it can not be determined if the grant or scholarship was reported, then professional judgment will be used in the reduction of funds. Any further reductions will be made based on policies already in place.

Other conditions- Other situations not covered in these policies will be considered on an individual basis by the scholarship committee.
